The landscape of open-source productivity software has reached a significant milestone with the official release of ONLYOFFICE Desktop Editors v10.0. Promoted by its developers as a fully rebuilt application, this major update introduces more than a thousand bug fixes, refined user interface enhancements across multiple platforms, and a dramatically expanded, highly flexible approach to artificial intelligence integration.

Because version 10.0 represents such a fundamental architectural overhaul of the desktop suite, the development team has issued an advisory to existing users upgrading from earlier iterations. Specifically, those transitioning to the new version are warned that not all of their customized settings, local preferences, and saved user configurations will automatically transfer over from previous installations.

One of the most notable changes in ONLYOFFICE 10.0 involves how the suite handles artificial intelligence. Moving away from the traditional model where AI capabilities were bundled directly into the application as a pre-installed plugin, the developers have decoupled these features entirely. Driven by direct user feedback regarding open-source builds, the legacy AI plugin has been completely removed from standard packages.

Instead, artificial intelligence functionality in version 10.0 is delivered through a separate, dedicated "AI Tools" add-on. While the suite provides an integrated setup flow to help users acquire and configure the add-on, it requires external setup. Users must connect a cloud provider application programming interface or configure a local large language model running through tools such as Ollama.

Once the AI Tools add-on is properly installed and configured, it provides deeper and more context-aware integration across the entire suite of document editors. According to the development team, because the updated AI architecture understands the specific context of each file open within the workspace, its suggestions remain consistently relevant and genuinely useful rather than acting as generic text generators.

The capabilities of the new AI system extend far beyond basic text summarization and content generation. Within the PDF Editor, the updated tooling can instantly generate comprehensive summaries of an open document or answer specific contextual questions regarding its contents. In other core applications, such as the Document Editor, artificial intelligence can be leveraged to execute complex administrative and formatting tasks, such as improving text structure, enhancing formatting, or automatically creating a table of contents.

The integrated AI Chat interface now features a series of preset prompts designed to accommodate common workplace use cases. Furthermore, users can configure Quick Actions to perform one-time, specific tasks, or deploy AI Assistants designed to act as collaborative co-editors. These assistants can work alongside users in real-time within a document, actively participating as the text is written, edited, and updated.

Adding to its versatility, the AI Tools add-on now features web access capabilities and the ability to interface directly with Multi-Context Protocol servers. Depending on the specific workflow requirements, this allows the system to pull in external information, glean insights, or query data sources located outside the immediate document environment.

Non-AI changes in v10.0

Alongside the major overhaul of the AI features, ONLYOFFICE 10.0 introduces a wide array of traditional productivity improvements and user interface adjustments. Among these changes, local document templates are no longer shipped natively with the application, leaving only cloud-based template options available. Linux users will notice subtle interface refinements, including reduced window border thickness and the long-awaited addition of proper window shadows. Furthermore, each individual editor within the suite receives its own distinct set of performance optimizations and feature additions.

The Redact tool housed within the PDF Editor has been upgraded and is now fully capable of stripping sensitive document metadata and completely removing hidden annotations. Digital signatures can now be incorporated directly through the Comment tab, while the Comments panel has been redesigned to provide a comprehensive, itemized list of every annotation present in the document alongside a newly introduced annotation settings panel.

Within the Document Editor, users benefit from improved list-handling behaviors. When pasting numbered items into a document that already features an existing list, options are provided to either continue the existing sequence or restart the numbering from the beginning.

Collaborative co-editing sessions have also been improved. Users engaged in real-time document collaboration can now instantly jump to another participant’s cursor and actively follow it as they work through the file. Paragraph text featuring exact line spacing is now clipped accurately by line, and documents utilizing right-to-left scripts handle equations and other inline objects much more predictably.

The Spreadsheet Editor introduces several targeted enhancements designed to improve data analysis workflows. It now highlights the precise ranges a formula applies to directly within the formula bar, incorporates a toggle switch for cell value AutoComplete, and introduces the ability to save spreadsheets directly into the legacy XLS format. This addition provides a practical solution for scenarios where files must be shared with individuals whose software environments predate modern XLSX standards.

Additionally, background calculations for array formulas that reference entire columns or rows have been optimized to execute significantly faster while consuming less computer memory to crunch large datasets.

The Presentation Editor receives a series of new print modes that mirror its updated view options. Users now have granular control over whether hidden slides, slide backgrounds, frames, comments, and slide numbers appear on printed output pages.

ONLYOFFICE Desktop Editors remains free, open-source software compatible with Windows, macOS, and Linux operating systems. Users can download the latest stable release directly from the official website. Installers for various distributions are hosted on the project’s GitHub releases page, which includes native Debian packages suitable for Ubuntu, Linux Mint, and related distributions.

For Linux users utilizing standalone packages, automatic updates to subsequent versions are typically not handled natively by the operating system’s package manager. However, users who prefer seamless, automated updates can opt to install the official ONLYOFFICE Snap package from the Snap Store instead.
